Metadata for Energy Research Software

Dear survey participant,

as part of NFDI4Energy, we are conducting a survey on "metadata for energy research software". By means of the survey, we aim to evaluate our metadata schema for energy research software which enables energy researchers to create structured metadata for their research software. Energy research software is defined as software used in the scientific discovery process for understanding, analyzing, improving, and/or designing energy systems or components of the energy system. Metadata is data about the software which allow others to better find, understand, and reuse the software.

This survey will take approximately 60 minutes and is divided into four parts:

  1. Classification of your background experience (approx. 5 min.)
  2. Experiment: Create metadata for your energy research software (approx. 35 minutes)
  3. Evaluation of usability (approx. 15 minutes)
  4. Voluntary upload of created metadata (approx. 5 minutes)

Voluntariness and Anonymity

Participation in the study is voluntary. You may withdraw from the study at any time and without providing reasons, without facing any disadvantages.

The data and personal information collected during this study, as described above, will be treated confidentially. Project staff who have direct contact with you and access to personal data are bound by confidentiality obligations. Furthermore, the study results will be published in an anonymized form, meaning that your data cannot be linked to you personally.

After creating the metadata in the second step of the survey, you will have the option to submit the metadata for further research purpose (e.g., showing the metadata within further planned evaluation). The submission of the metadata is completely voluntary and is not required to finalize this survey.

Data Protection

In the first part of the study, data collection is carried out in full anonymization, meaning that your name or other identifying personal data will not be requested or stored at any point.

In the second part of the study, it is possible to provide us your created metadata for further research purpose. You will get additional information on the data processing and protection at that step.

Compensation

Participation in this study will not be compensated.

Data protection information in accordance with Art. 13 GDPR

Data processing:

In the course of the registration process for our scientific studies, we first collect, store and process your personal contact data, in detail:  Name, email address. The data is used for the organization and implementation of the respective study. In the further study, we collect additional personal data: Name, email address, ORCID, role in research software development. You will be informed in detail about the procedure and content of the studies in advance. Participation in a scientific study is voluntary.

The legal basis for the data processing explained above is your voluntarily given consent - insofar as or as long as the data is not completely anonymized. Insofar as special categories of personal data (e.g. your health data) are processed, we obtain your consent in accordance with Art. 9 para. 2 lit. a in conjunction with Art. 7 GDPR. Art. 7 GDPR. If we compile statistics with these data categories, this is done on the basis of Art. 9 para. 2 lit. j GDPR in conjunction with § 27 BDSG.  Otherwise, Art. 6 lit. a GDPR forms the legal basis for data processing.

Your consent can be withdrawn at any time without affecting the lawfulness of the processing carried out to date. If consent is withdrawn, we will cease the corresponding data processing. If possible, please address your revocation to the contact person named in the participant information.

Data recipients / data usage :

We observe the principle of earmarked data use and collect, process and store your personal data only for the purposes for which you have provided it to us. Your personal data will not be passed on to third parties without your express consent.

However, your data may be passed on by us to external service providers, e.g. IT service providers, companies that destroy or archive data, printing service providers, who support us in data processing within the framework of order processing strictly in accordance with instructions. Data is also only transferred to state institutions and authorities entitled to receive information within the scope of the statutory duty to provide information or if we are obliged to provide information by a court decision.  Data processing outside the EU or the EEA does not take place.

We will neither sell your personal data to third parties nor market it in any other way.

Data erasure:

The personal data collected will be erased if you withdraw your consent to its storage, if the purpose for which it was stored no longer applies (which is generally the case after two years at the latest) or if its continued storage is not permitted for other legal reasons. If statutory retention periods apply, the data concerned will be archived for the duration of these periods.

In completely anonymized form, your study data will also be stored for research purposes for at least ten years after data evaluation or at least ten years after publication of a publication on the respective study.

Rights of the data subject:

Data subjects have the right to obtain from the controller access to the personal data concerning them and to rectification of inaccurate data or erasure if one of the grounds specified in Art. 17 GDPR applies, e.g. if the data is no longer required for the purposes pursued. There is also the right to restriction of processing if one of the conditions set out in Art. 18 GDPR applies and, in the cases set out in Art. 20 GDPR, the right to data portability.

Every data subject has the right to lodge a complaint with a supervisory authority if they believe that the processing of their data violates data protection regulations. The right to lodge a complaint can be asserted in particular with a supervisory authority in the Member State of the data subject's place of residence or the place of the alleged infringement. In Lower Saxony, the competent supervisory authority is the State Commissioner for Data Protection of Lower Saxony, Barbara Thiel, Postfach 2 21, 30002 Hanover.
